This is the agreement between a co-op and GatherBee. It is written to be read once, by the person who signed the co-op up — usually a volunteer who did not expect to be reading a contract today.
GatherBee is made and operated by Corey Alan LLC. The customer is the co-op, not an individual family. Families reach GatherBee through their co-op, and the co-op decides who may use it and what they may see.
By setting a co-op up, you confirm you are authorised to accept these terms for it.
GatherBee handles registration, tuition, volunteer hours, attendance and signed forms for a homeschool co-op. Each co-op is served at its own address under gatherbee.org. We may change how features work as the product develops; we will not remove something a co-op depends on without notice.
Every co-op starts with a 60-day free trial, no card required. There is no free plan after that — every co-op is a paying customer.
Annual billing is the default and the headline price; monthly billing carries a premium. Migration from another platform is $249, once. There is no separate nonprofit discount — every co-op we serve is a nonprofit, so the list price is the nonprofit price.
When families pay tuition, that money is the co-op's. GatherBee takes no percentage of tuition. Payments are processed by Stripe into the co-op's own connected account, and Stripe's processing fees apply — GatherBee adds nothing on top. Refunds, and the policy governing them, are the co-op's to set and to honour.
Almost everything in GatherBee was entered by a co-op about its own families. The co-op warrants that it holds the rights to enter the information it enters, and remains responsible for what it collects and who it shares it with.
GatherBee does not knowingly collect personal information online directly from children under 13. Parents are given direct notice and may review or delete their children's information regardless of the co-op. What we hold and why is in the privacy notice, and how long we keep it is in the published retention schedule.
Do not use GatherBee to
We may suspend an account that is doing one of these, and will say why.
A co-op may cancel at any time. After cancellation or an expired trial, its data stays exportable for 90 days and is then permanently deleted. Records the co-op is legally required to keep — signed forms, payment history — are retained for the periods in the retention schedule even after an account closes.
We may end an agreement for non-payment or for a serious breach of the section above. If we do, the same 90-day export window applies.
Your own login is separate from the co-op’s agreement. You may delete it at any time from your account page; it is erased 30 days later, and signing in before then cancels the deletion. What that erases and what it keeps is set out in full. We will refuse only one case: while you are the last administrator of a co-op that has other members, because deleting your login would leave those families without anyone able to run it.
GatherBee is provided as it is. We work to keep it available and correct, but we do not warrant that it will be uninterrupted or error-free, and we are not liable for indirect or consequential losses. Nothing here limits liability that cannot be limited by law.
A co-op is responsible for its own records. Export your data periodically — the export is in the app, and it is yours.
These terms are governed by the laws of the State of Wyoming, United States, without regard to its conflict-of-laws principles. Any dispute that is not resolved informally will be brought in the state or federal courts located in Sheridan County, Wyoming.
We may update these terms. If a change materially affects a co-op, we will tell the co-op's administrators before it takes effect. Continuing to use GatherBee after that means accepting the updated terms.
