A co-op day at a sample co-op — the grid most co-ops rebuild in a spreadsheet every semester.
Nothing talks to anything. The roster is in one place, the money in another, and the only thing joining them up is a volunteer with a full-time job at home.
“Is co-op on this week? I can’t find the calendar”
“Reposting the supply list — last one got buried”
Received $85.00 — “for logic i think?”
Two payments with no note. Three families still owe.
Medical & allergy form
41 of 58 responses. No way to tell whose expired.
“Sorry to bother you again — which room is art in?”
“Can we still join? My friend says you’re full”
Signed waivers, 2024–2026
The only copy. In the boot of a Honda.
A job nobody can see is a job nobody will take.
Co-ops rarely fold because the teaching stopped. They fold because the one person holding it together burned out, and the role looked too big for anyone to take over.
Board families register first, then returning families, then everyone. Classes close at capacity and open a waitlist with a held place that expires on its own.
If a family owes a current waiver, registration stops there and says so. Nobody has to be the one who tells them.
The requirement is shown before a family commits, so October is never a surprise. Every family sees its own balance.
A family who can’t serve can buy out, or hand its hours to a family who will — and the obligation moves with a record of both sides.
Class fees, materials and dues arrive as a single amount, paid into the co-op’s own account. No volunteer collects cheques, chases a neighbour, or works out who owes what.
GatherBee never holds your money and takes none of it.
Waivers, medical forms and releases renew each year, and the co-op always knows who is current without anyone keeping a list.
A family that declines the photo release simply never appears in anything the co-op publishes.
Take the register without exposing anyone’s fees or contact details. Medical notes reach only the teachers of the classes that child attends.
Lessons stay in the co-op’s own library, so next year’s teacher inherits the work instead of starting again.
GPA 4.00 weighted · issued by the Bell family · PDF ready
Each teacher keeps a gradebook — assignments, quizzes that grade themselves, weighted categories. GatherBee gathers those finals into one cumulative transcript, across every teacher and every term, with home courses alongside.
Co-op software stops at the roster, and school gradebooks don’t know what a co-op is — GatherBee is built for the seam between them. The transcript is the parent’s to issue, with GPA, honors weighting and a clean PDF included.
A class can send its fee straight to the teacher’s own account. The family still makes one payment; the split happens behind it, every share recorded, and the teacher’s money never passes through the co-op’s books.
Stripe handles the teacher’s tax paperwork, refunds pull back from whoever was paid, and the treasurer stops being the person who writes cheques to friends.
The family paid once. GatherBee kept nothing.
Unlimited families. No cut of your tuition, and no separate nonprofit programme — every co-op we serve is a nonprofit, so this is already that price.
One person sets it up. Families click a link in an email and see one page — there is nothing for them to learn and nothing they have to install.
You do. Fees go straight into your co-op’s own Stripe account. We take no percentage and never touch the balance — Stripe charges its own processing fee, and we add nothing on top.
Parents enter it, children never log in, and nothing about a child is visible outside your co-op. Everything has a published deletion date.
No. Assignments, quizzes, gradebooks, transcripts, certificates and class recordings are all in here — one subscription covers the operations side and the teaching side.
We’re building GatherBee now. Tell us about your co-op and we’ll get in touch when you can sign up — and we’ll ask what you’d need it to do.
No account, no card. A 60-day trial when we open, and we won’t pass your address to anyone. Ask us to delete it whenever you like — reply to any email from us, or ask us here.
Present, absent, excused — and today, still to take.
