GatherBee is the back office a homeschool co-op runs on. Almost everything in it was entered by that co-op about its own families — so this notice is mostly about what we do with information that is not ours.
GatherBee is made and operated by Corey Alan LLC. Write to support@gatherbee.org about anything on this page; we reply within one business day.
What a co-op enters. Households and their contact details, student profiles, class registrations, attendance, volunteer hours, signed documents and payment records. The co-op decides what goes in and warrants that it holds the rights to enter it; we hold it on the co-op’s behalf.
What you give us directly. If you join the waitlist: your name, your co-op’s name, roughly how many families it has, and your email address. That is used to tell you when you can sign up, and for nothing else.
What the service records. Sign-in events and an audit trail of who did what inside a co-op — the trail exists so a co-op can answer questions about its own data, and it survives the deletion of the person it concerns by holding names rather than links.
We do not knowingly collect personal information online directly from children under 13. Children do not log in and do not submit anything to GatherBee, and no page that displays a student’s information loads third-party analytics or advertising code. Parents may review or delete their children’s information by asking us directly. The full position is on the children’s privacy page.
Families pay their co-op through the co-op’s own Stripe account. GatherBee never holds the balance and takes no percentage of tuition; Stripe charges its own processing fee under the co-op’s own agreement with Stripe. We record what was paid and by which household — we do not store card numbers.
A co-op’s data is visible to that co-op and to nobody else: not to other co-ops, and not for advertising — we do not sell personal information and we do not use it to target advertising. Consent to disclose information to a third party is always asked for separately from consent to collect it and use it inside the co-op. A small number of service providers process data on our instructions to run the service — hosting, email delivery, payments, error monitoring and marketing-site analytics — and may not use it for anything else.
We count visits to our public pages — this one, the home page, pricing, support and the legal notices — so we can tell which of them are useful. No page that displays a student’s information is measured at all.
It sets no cookies and stores no IP addresses: a country and region are worked out when the visit is recorded and the address is thrown away. The identifier that distinguishes one visitor from another is salted, so it cannot be used to recognise the same person on a later day. The script and everything it reports to are served from gatherbee.org itself, so no other company’s code runs in your browser. Our analytics provider holds these records in the European Union for five years and may not use them for anything else.
Every category of record has a published deletion date. The retention schedule lists each one, when its clock starts, and how long a deletion takes to reach our live systems and our backups.
A guardian can ask for everything held about their household in a portable file, and can ask for a student’s information to be deleted. Records a co-op is legally required to keep — signed documents and payment records, for the periods in the schedule — are retained; everything else goes. Ask your co-op or write to us; either route works.
You can delete your own login yourself, whenever you like, from your account page. What that erases and what it keeps is written out in full.
California gives you rights over personal information about you, and they apply whoever you are — we extend the same handling to everyone rather than running two systems.
Identifiers — your name, email address and, if you use them, your Google or Apple sign-in. Commercial information — what a co-op subscribes to, and the record of payments families make through it. Internet activity limited to what keeps the service secure: sign-in attempts and the audit trail of actions taken. For a student, what their co-op enters to run classes: enrolments, attendance, volunteer hours, assessment and signed forms.
We use them to run the service, take payment, keep accounts secure, and answer you when you write to us. Nothing else. We do not profile anyone, and we do not make automated decisions that have legal effects.
From you, from your co-op, and from the processors that carry the work: our payment processor, our email sender, and our document-signing service. We do not buy personal information from anyone.
We have never sold personal information, and we do not share it for cross-context behavioural advertising — the meanings those words carry in California law. There is no opt-out to offer you because there is nothing to opt out of.
You can ask what we hold about you and get a copy, ask us to correct it, and ask us to delete it. Delete your login yourself from your account page, or ask us through support or at support@gatherbee.org. We confirm within 10 days and answer within 45, or tell you if we need longer. We verify it is you before we act — through your signed-in account, or by writing to the address we hold. An authorised agent may ask on your behalf with your written permission.
For everything a co-op enters about its families, the co-op decides what is held and why; we act on its instructions and do not use it for anything of our own. Ask your co-op first — it can act immediately, and we will help it. Write to us if you cannot reach them.
We will not refuse you service, charge a different price, or give you a worse experience because you exercised any of these rights.
If this notice changes in a way that affects what we do with information already held, we will say so to the co-ops it concerns rather than quietly reissuing the page.
